Your delegate fee covers the following amenities and services:

  • Three nights of accommodation (1st, 2nd, and 3rd of September) in the type of accommodation you selected during the booking process.
  • Complimentary airport transfers from the airport to the hotel on September 1st and from the hotel to the airport on September 4th.
  • Access to all conference sessions, workshops, and networking events.
  • Participation in dinners and cultural activities.

The conference will begin with the Opening Ceremony on Friday, 1st of September, at 7:00 PM. We kindly request all delegates to be present at the designated venue at this time for the commencement of the event. The conference sessions and activities will take place throughout Saturday, September 2nd, with various engaging presentations, workshops, and networking opportunities. The conference will conclude on Sunday, September 3rd, with the highly anticipated Gala Dinner, starting at 7:30 PM and concluding at 11:30 PM.

Yes, you have the option to book extra nights at the conference hotel at a special discounted rate exclusive to conference delegates. If you wish to arrive earlier or extend your stay after the conference, please fill out the form provided in the link below:

Yes, to enhance your conference experience, we are offering several post-conference tour options to explore Lithuania and the Baltic countries and experience their unique culture and history. The tours are scheduled as follows:

Conference Delegate Refund Policy

We understand that circumstances may change, and you may need to reconsider your conference attendance. Our refund policy aims to be fair and accommodating to delegates while also ensuring the successful organisation of the event.

Cancellation and Refund Guidelines:

  • Full Refund: Requests for cancellations received 60 days before the conference start date will be eligible for a full refund of the registration fee.
  • Partial Refund: Cancellation requests received between 59 and 30 days before the conference start date will be eligible for a partial refund of 50% of the registration fee.
  • No Refund: Unfortunately, we cannot issue refunds for cancellations made within 30 days of the conference start date.

Refund Process:

  • All refund requests must be made in writing to conference@eema2023.eu and include the delegate’s full name, registration details, and reason for cancellation.
  • Refunds will be processed within 5 business days after receiving the cancellation request. 

Substitute Delegate:

If you are unable to attend the conference, you have the option to substitute a colleague or associate from your organisation in your place. Please inform us in writing at least 5 days before the conference start date to facilitate this change.
